📈 Generating and Understanding Reports
The Reports page is where your raw time data transforms into actionable insights, allowing you to track progress, ensure profitability, and generate invoices instantly.
1. Generating Your Report: The What, Who, and When
Every report starts with defining three simple criteria—What was tracked, Who tracked it, and When they did it.
A. Make your selections
| Field | Description |
| What | Select 1 or many Projects/Tasks, OR select 1 or many Clients |
| Who | Select 1 or many Users, OR select 1 or many Teams. |
| When | Select a date range. |
B. See the report!
Once you click Generate Report, you will see a chart visualizing the time tracked.
Total Time: At the top of the page, the total time tracked in the report is displayed.
Chart, and Report Type:Â You’ll see a chart and table of the results, as well as a choice for report type that groups the results by date, by user, by team, by client, etc.
Billable Amount: If you are utilizing the Time Rounding feature, the summary will also show a BILLABLE amount of total time, reflecting the time after rounding has been applied.
2. Report Visibility and Permissions
Report visibility is strictly managed by user roles to ensure data privacy and organizational structure are respected:
Individual Users: Users can always see reports of their own time tracked.
Team Leaders: Team Leaders can see reports for all members of their assigned team.
Admins & Custom Roles: Admins, or users who have been granted special permissions in their custom role (specifically the “View Time Reports For All Users” permission), can see reports for any user across the entire workspace.
For more details on setting up and defining roles, please refer to the Users & Permissions guide.
3. Report Types and Visualization
You can quickly pivot the perspective of your data without changing the criteria you initially selected.
Report Type Selector: Click the report type selector located on top of the chart to view the data grouped by different metrics.
Available Views: You can view the report by date, by client, by project, by task, by user, or by team.
Independence: Each view is independent and shows all the time tracked based on the initial criteria you selected, but displayed by that metric (e.g., total time per client when multiple clients are part of the report, or total time per user, etc).
4. Exporting Data and Generating Invoices
Once you’ve generated your report and are happy with your selections, you can:
Export Data: Use the Export button to retrieve the data from the report view currently displayed (e.g., ‘By Team’ view) in popular formats like CSV, Excel, or JSON.
Generate Invoice: Use the Generate Invoice button and select a Cost Profile to see an invoice preview for the displayed report, using the specific rates defined in that profile.
5. Viewing and Editing Individual Time Entries (Breakdown)
Below the chart, you will find a table containing the data summarized in the report.
Table View: The table displays data totaled per the report type chosen (e.g., total time per client, total time per project, etc.).
Accessing Details: To see the individual time entries that make up the total for that date, project, or client, click the Breakdown button on that specific row in the table.
Time Entry Details: The Breakdown view shows each individual time entry with full details, including:
Who tracked the time.
What team they were on.
Other time entry details.
Editing and Deleting: You can edit or delete time entries directly from this breakdown view. When done, you will be prompted to refresh the report to see the updated totals reflected with your changes.
