📂 Managing Your Projects
Projects are the backbone of your time tracking and billing in MinuteShark. This guide walks you through setting up your project structure, controlling who can see and track time on it, and assigning work to your team.
1. Creating and Detailing Your Projects
The project creation process begins after you have added a client to your workspace. Once a client is created, you can add projects directly under them.
Use the rich text editor to add a comprehensive project description. This is where you include essential information, briefs, and important context for yourself or team members.
2. Controlling Project Visibility
Controlling project visibility ensures that only relevant teams see and track time against the work, keeping everyone focused and preventing erroneous time entries.
Visibility Setting: You can set the visibility of a project to a specific team or to “Everyone”.
Note that Admins or users with a role that includes the permission (“Manage Projects for All Teams”—see Users & Permissions) can still see the project regardless of the team visibility setting.
3. Tasks and Subtasks
Add tasks on your project. You can optionally add subtasks to tasks as well.
Each task also has a rich text editor where you can add specific details that you or your team may need to keep in mind while working on that specific task.
Task Status (Open vs. Closed)
Closed Task: A closed task will not allow more time to be tracked on it.
You can always go back and mark a closed task back as Open if you need to resume work or log additional time.
4. Task Assignments and Notifications
Assigning a task routes it directly to the responsible team member and updates their personal dashboard.
When you assign a user to a task, they will receive an email notification (unless they have turned off that feature on their Profile page).
The assigned user will also now see that task prominently displayed under the Starred Tasks widget on their dashboard, labeled under “Tasks assigned to you” (see Dashboard Widgets guide).
